Overview

Under the direct supervision of an Executive this position will provide administrative and secretarial support to the Executive and the department. In addition to typing, filing, and scheduling, this position will perform duties such as coordinating meetings and conferences, obtaining supplies, and working on special projects. This position will use independent judgment to plan, prioritize, and organize diversified workload.

Responsibilities

  • Provide administrative support to the Executive and the department
  • Schedule and organize activities such as meetings, travel, conferences, and department activities
  • Manage calendar and schedule meetings
  • Process expenses and follow up on payment when needed
  • Establish, develop, maintain, and update filing system for the Executive and the department; retrieve information from files when needed
  • Organize and prioritize large volumes of information and calls
  • Sort and distribute mail; open mail for the Executive
  • Draft written responses or replies by phone or e-mail when necessary
  • Respond to regularly occurring requests for information
  • Answer phones for the Executive, take messages or field/answers all routine and non-routine questions
  • Work independently and within a team on special nonrecurring and ongoing projects
  • Act as project manager for special projects, at the request of the Executive, which may include planning and coordinating multiple presentations and disseminating information
  • Type and design general correspondences, memos, charts, tables, graphs, business plans, etc.
  • Proofread copies for spelling, grammar, and layout, making appropriate changes; responsible for accuracy and clarity of final copy

Qualifications

Education and Experience:

  • Must have knowledge of secretarial and office administrative procedures, and knowledge of use and operation of standard office equipment

 

Skills and Behaviors:

  • Knowledge of Microsoft Word, Excel, and PowerPoint are a must
  • High level of discretion required
  • Excellent verbal and written communication skills
  • Analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines
